Transform FastPass Terms & Conditions for Practitioners

As a registered participant (“you”) in the Transform 2026 FastPass Program (the “Program”), you agree to these Terms & Conditions (this “Agreement”) with Transform Media LLC (“Transform”, “we”, or “us”).
By completing registration for the Transform 2026 FastPass Program, you acknowledge that you have read, understand, and agree to these Terms & Conditions, which govern your participation in the Program and may be amended by Transform from time to time.
Participation in the Program requires compliance with Transform’s general Event Terms of Attendance, which are incorporated into this Agreement by reference and may be updated by Transform from time to time.
If you register a colleague on their behalf, you represent and warrant that you have made them aware of this Agreement and that they have accepted it.
1. Practitioner Eligibility
To qualify for the Program, individuals must:
(a) be leaders or decision influencers in HR, people, talent, workforce technology or enterprise software who evaluate or implement HR or workforce solutions for their organizations; and
(b) register using a valid work email address.
Eligibility for the Program is determined solely at Transform’s discretion and may be revoked at any time.
2. Required Meetings
The Program requires each practitioner to complete six (6) one-to-one, 15-minute onsite meetings with participating sponsors.
Transform may assign more than six meetings. Practitioners may accept additional meetings if they wish, but they are only required to complete six meetings to remain eligible.
Meetings must be:
- attended individually (no joint meetings with colleagues);
- taken onsite at the event venue; and
- completed by the practitioner to whom they are assigned. Meetings may not be taken by substitutes, colleagues, or any other individual.
If Transform schedules fewer than six meetings for a practitioner, the required number of meetings adjusts accordingly. Transform may also include participation in a designated roundtable as part of the required activity where fewer than six meetings are assigned.
3. Participation Requirements
To participate in the Program, you agree to:
(a) complete a practitioner profile describing your role and areas of solution evaluation;
(b) participate in the sponsor selection and matching process;
(c) respond to Transform communications and platform deadlines;
(d) add all scheduled meetings to your calendar; and
(e) comply with Transform’s general Event Terms of Attendance.
Failure to complete required steps may result in removal from the Program. If removed, you may still attend the event by purchasing a ticket, but you will not receive a complimentary ticket or Transform FastPass Prepaid Mastercard®.
4. Availability
You agree to keep all designated meeting blocks free until your final schedule is issued. Meetings may span multiple days and are not guaranteed to be consecutive. Participation in the Program requires in-person attendance at the event.
5. Ticket & Incentive
Practitioners who qualify for the Program will receive:
(a) one (1) complimentary ticket to attend Transform 2026 (the “Event”); and
(b) a Transform FastPass Prepaid Mastercard in the amount of $555, delivered onsite at the Event.
To receive both the complimentary ticket and the prepaid Mastercard, you must complete all required meetings (or required activities, where roundtables apply).
If you complete fewer than the required number of meetings, conduct meetings offsite, or fail to attend the Event in person, no prepaid Mastercard will be issued.
You acknowledge and agree that any and all taxes arising from or related to Your participation in the Program, including, without limitation, any taxes associated with receipt of the Event ticket, prepaid Mastercard, or any other benefit, are the sole responsibility of You. Transform shall not be liable for, and will not withhold or pay, any such taxes on Your behalf.
6. Eligibility for Complimentary Ticket
Transform reserves the right to revoke your complimentary ticket and charge the full price of an Event ticket using the credit or debit card authorization provided during registration if you:
(a) fail to attend the Event without prior approval from Transform;
(b) cancel your attendance with less than seventy-two (72) hours’ notice; or
(c) complete fewer than four (4) meetings.
Transform may also restrict your eligibility for future Program editions at its discretion.
If you have already received a complimentary Event ticket through another Transform program (for example, as a speaker or CHRO participant), or have already purchased a ticket, your FastPass complimentary ticket may be transferred to a colleague from the same organization. All applicable Program terms apply to the colleague’s ticket.
7. Cancellations & Substitutions
If you can no longer attend the Event:
(a) you may propose a qualified substitute from your organization;
(b) acceptance of any substitute is at Transform’s sole discretion.
If no suitable substitute is approved and cancellation occurs with less than seventy-two (72) hours’ notice or without notice, Transform may charge the full price of an Event ticket using the card authorization provided during registration.
Repeated late cancellations may result in ineligibility for future Program years.
8. Employment Changes
If you are no longer employed by the organization through which you qualified for the Program, you must notify Transform immediately. In such cases, continued eligibility for the Program is at Transform’s discretion. The complimentary ticket and reward are not guaranteed if eligibility changes.
9. Platform Requirements
You must:
(a) use the designated meeting platform to set up your profile, participate in matching, and manage your schedule;
(b) respond within required deadlines; and
(c) follow all platform instructions.
Failure to comply may result in removal from the Program and loss of the complimentary ticket and prepaid Mastercard.
10. Information Sharing
You acknowledge and agree that Transform may share practitioner information you provide with participating sponsors during the matching and scheduling process.
11. Disqualification Policy
Transform may restrict your eligibility for future years of the Program at its sole discretion for:
(a) failure to complete required meetings;
(b) late cancellation without an approved substitute;
(c) non-attendance at the Event;
(d) repeated unresponsiveness;
(e) misrepresentation of eligibility or role; or
(f) violation of Transform’s Event Terms of Attendance.
To protect the quality of the Program, Transform may also restrict eligibility where behaviour indicates that participation is not intended to engage meaningfully with the Program (for example, indicating to sponsors that meetings are being taken solely to receive the Reward or complimentary ticket).
