Transform Event Code of Conduct

Transform Media, LLC (“Transform,” “we,” “us”) is committed to providing a safe, professional, and respectful environment for all participants at events we host, co-host, or produce (each, an “Event”). This Event Code of Conduct (“Code”) sets forth the standards of behavior expected of all participants.
1. Scope and Applicability
This Code applies to all individuals participating in or attending a Transform Media Event, including but not limited to:
• attendees and guests,
• speakers and moderators,
• sponsors, exhibitors, and vendors,
• contractors, volunteers, staff, and media.
This Code applies to conduct:
• at Event venues and official Event activities (including social or networking events),
• in Event-related digital or communication channels (e.g., Event apps, chat platforms, email lists),
• and in connection with the Event where such conduct affects participant safety, the Event experience, or Transform’s reputation.
2. Expected Standards of Conduct
All participants are expected to:
• Act professionally and respectfully toward others at all times.
• Exercise good judgment and comply with all applicable laws, venue rules, and Event policies.
• Follow instructions from Transform staff, venue personnel, or security.
• Wear required credentials and refrain from sharing or misusing badges or access credentials.
Sponsors are responsible for ensuring their Representatives comply with these Terms.
3. Prohibited Conduct
Transform does not tolerate inappropriate, disruptive, or harmful behavior. Prohibited conduct includes, without limitation:
Harassment and Discrimination
• Harassment, discrimination, or exclusion of any kind, including unwelcome verbal, physical, visual, or sexual conduct.
• Intimidation, bullying, stalking, or sustained disruption of sessions or activities.
Safety and Security Violations
• Violence, threats, or encouraging others to engage in violent or unsafe behavior.
• Possession or use of weapons, illegal drugs, or unlawful substances, or misuse of alcohol in a manner that creates safety risk or disruption.
• Theft, vandalism, or damage to property.
Disruptive or Unprofessional Conduct
• Disrupting presentations, panels, or Event operations.
• Failure to comply with staff or security instructions.
• Retaliation against any individual who reports a concern or participates in an investigation.
Misrepresentation and Improper Conduct
• Impersonating another person or misrepresenting affiliation.
• Making knowingly false or defamatory statements about other participants, sponsors, or Transform Media.
• Using the Event for unlawful, unethical, or improper business practices.
4. Photography, Recording, and Use of Likeness
• Transform may photograph or record Events for business, marketing, or promotional purposes. By attending an Event, participants consent to the use of their image or likeness in Event-related materials, subject to applicable law.
• Participants may not photograph or record others in a manner that is harassing, invasive, or non-consensual.
• Recording or photography may be restricted in certain sessions or areas and must be respected where posted or announced.
• Participants may not capture or disseminate confidential or proprietary information without authorization.
5. Sponsor, Exhibitor, and Vendor Conduct
Sponsors, exhibitors, and vendors (“Sponsors”) are responsible for ensuring that their representatives, agents, and contractors comply with this Code.
Sponsors must:
• Conduct marketing and engagement activities in a respectful, non-harassing manner.
• Avoid aggressive, deceptive, or non-consensual solicitation.
• Comply with all Event, venue, and legal requirements regarding promotions, giveaways, and demonstrations.
• Collect and use personal information only with appropriate notice and consent and in compliance with applicable privacy laws.
Transform reserves the right to require modification or removal of Sponsor materials or activities that violate this Code or interfere with the Event experience.
6. Reporting Concerns
Participants are encouraged to report any behavior that may violate this Code or compromise safety or professionalism.
Reports may be made to:
• Transform Media Event staff,
• Event security or venue personnel, or
• A designated reporting channel provided for the Event.
In situations involving immediate danger, participants should contact local emergency services first.
7. Enforcement and Remedies
Transform Media reserves the right to take any action it deems appropriate in response to violations of this Code, including, without limitation:
• verbal or written warnings,
• removal from specific sessions or activities,
• revocation of Event credentials,
• expulsion from the Event without refund,
• exclusion from future Transform Media events,
• removal of Sponsor personnel or termination of sponsorship participation.
All determinations regarding enforcement are made at Transform Media’s sole discretion.
8. No Refunds; Sponsor Consequences
• Attendees: Registration fees or other payments will not be refunded for removal or expulsion resulting from Code violations.
• Sponsors and Exhibitors: Violations may result in suspension or termination of participation without refund, in addition to any remedies available under applicable agreements.
9. Anti-Retaliation
Retaliation against any individual who raises a concern or participates in an investigation in good faith is strictly prohibited and will be treated as a violation of this Code.
10. Acknowledgment
By registering for, attending, sponsoring, exhibiting at, or otherwise participating in a Transform Event, each participant agrees to comply with this Event Code of Conduct.
